Job Description

BASIC FUNCTION:

The work involves responsibility for managing the entry and retrieval of specific information using database and/or spreadsheet software on a computer. Incumbents operate a computer to transcribe data from source documents, and query and generate reports as required to support technical and professional staff involved in a program. This class differs from Keyboard Specialist by the fact that Information Processing Specialists enter, update and search for data and generate reports on a specialized database/spreadsheet on a regular basis. This work requires accuracy, but not considerable speed, as is the case with a Keyboard Specialist. In addition, incumbents in this class may perform clerical duties in support of office operations. The work is performed under direct supervision with latitude allowed for scheduling and executing day to day duties and responsibilities. Does related work as required.

RESPONSIBILITIES:

  1. Develops, maintains and updates computerized records containing information required for specialized programs.
  2. Searches and retrieves data from computerized records by use of queries or other means appropriate to the software.
  3. Modifies the computerized records as program information needs change or advises a programmer as to needed changes.
  4. Prepares source material prior to input of data into computerized records.
  5. Provides for the distribution of reports to appropriate professional staff.
  6. Records requested information on appropriate form or other document or relays the data to the requester.
  7. Performs general office duties as required.
  8. Good knowledge of database/spreadsheet software applications.
  9. Good knowledge of the principles and practices of computerized records maintenance.
  10. Good knowledge of database/spreadsheet creation and modification.
  11. Working knowledge of modern office terminology, procedures, equipment and business English.
  12. Ability to operate a personal computer and utilize common office software programs including word processing, spreadsheet and databases.
  13. Ability to enter data into query and issue reports from database and spreadsheet programs.
  14. Ability to establish and maintain effective working relationships with others.
  15. Ability to perform close, detail work involving considerable visual effort and concentration.
  16. Physical condition commensurate with the demands of the position.

Job Qualifications

TRAINEE LEVEL: SALARY $43,000 to $45,000 prorated to amount of service

     1. Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with a              Bachelor’s degree.

JOURNEY LEVEL: SALARY $48,000 - $50,000 prorated to amount of service

  1. Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with at least a Bachelor’s degree in Information Systems, Computer Science, or closely related field; OR,
  2. Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with an Associate’s degree in Information Systems, Computer Science, or closely related field and two (2) years of experience entering data, running queries and generating reports from a computer database or a spreadsheet program.

NOTE: Following successful completion of a one (1) year probationary period, individuals with permanent competitive class status as an Information Processing Specialist Trainee mature to Information Processing Specialist without further examination.

The selected applicant will be subject to a fingerprint supported criminal history background check in accordance with SAVE Legislation effective July 1, 2001.

Vacancies are filled by certified list provided by Albany County Civil Service. Should no certified list be available, candidates appointed to this position will be serving in a provisional appointment in accordance with New York State Civil Service Law. The candidate must successfully complete a competitive examination and be eligible for appointment in accordance with Civil Service Law and the Civil Service Rules for Albany County to obtain a permanent appointment.
